General Summary
The position will provide administrative support, website content maintenance and other duties as assigned. This individual will negotiate competing timelines while supporting the Foundation office.
This position requires a high level of organization, ability to multi-task and willing to take initiative. This person will work independently and be responsible for specific projects. Performs duties for the Foundation office with complete confidentiality. Performs duties and responsibilities in accordance with college foundation policies and procedures.
Essential Functions
Administrative Task
o Assists Foundation Chief of Operations with the day-to-day operation of the Foundation Office i.e., various clerical tasks to include filing, copying, preparing mailings, etc.
o Provide coverage for office while other staff are away from the office, i.e., answer phones, greet constituents, etc.
o Prepares correspondence with employees via email, letters or cards for birthdays, deaths, and retirements.
o Prepares thank you letters and invoices for outstanding pledges sent to donors.
o Engages with CCC employees, retirees, donors and other constituents of the Foundation
o Attends staff meetings bi-monthly and foundation staff finance meetings- monthly
o Orders and maintains stock of office supplies, i.e. stationary, items for special mailings, etc. in conjunction with the Foundation Chief of Operations. This includes organization of workroom, storage room, and other areas within the Foundation office.
Essential Functions
Accounting
o Records deposits on a spreadsheet to balance with Foundation Chief of Operations’ entries in Raisers. After balance is confirmed, deposit is made using online banking app. If cash is included in deposit, deposit must be made at local bank.
o Balances endowed funds annually and restricted funds as directed. Prepares letters and statements to select donors as required
Assists Foundation Treasurer with preparation audit.
Essential Functions
Database
o Proficiency with Raisers Edge Software data program is critical. Will will enter and update data to maintain accurate lists(s) for all the Foundation campaigns, projects, events, etc. Data health will be a vital component of database software. Uploads new alumni yearly for Alumni Director.
o Access to and understanding of College software, i.e, Ellucian, is required.
o Input and reconcile of monthly payroll deductions.
o Generates queries and reports from raisers as directed

Events
o Provides support with CCC Retiree Events, Rotary Event, Pro Am Golf Tournament, and other events, i.e., designing invitations, setting up room reservations and food, attending events as required. Some evenings and weekends maybe required.

o Perform website content maintenance and forms as required.
o Work with development team to create, schedule, and send social communication to constituents including e-mail blasts and all social media accounts of the Foundation.
o Manage website ticketing system, reporting, online payment portals, logistics of site.
